Planning Your Exhibitor Experience
Preparation is the difference between a good event and a great one. Use this guide to prepare, stay on track and get ready for a smooth and successful event. Reach out to the team if you have any questions – we’re here to help make the process as seamless as possible.
Twelve Weeks Before
Planning to sample or sell alcohol? You may need to obtain a temporary liquor licence to meet Victorian licensing requirements. Approvals can take several weeks, so we recommend submitting your application as early as possible.
One Month Before
Consider the services you’ll need for your stand, including: lighting, furniture, AV, stand catering, food and beverage account cards, communication and technology services, utilities pit access for compressed air or water access, rigging, plumbing and cleaning.
Obtain the event-specific shipping label from your event organiser. Attach this to all deliveries so they arrive at the correct location.
Seven Business Days Before
Order any services you need for your stand.
If you’d like to provide food or non-alcoholic beverages, get approval from both the venue and your event organiser.
Before You Arrive
Test and tag all electrical equipment.
Complete the venue induction process before arriving on site. If you’re a first-time exhibitor, a representative from your organisation may need to complete company prequalification.
